Outreach / Technology

Utilizing the power of technology to support camps’ capacity to find, engage, and inspire

Why Outreach
Everyone is so busy these days. You know how hard it is to get people’s attention, let alone inspire them to take an action, like enrolling a camper or making a donation.

Great outreach results in more dollars for your camp – including more campers, more booked rentals and retreats, and more supporters making donations.

We at JCamp 180 strive to help affiliated Jewish camps with the knowledge and skills you need to improve your camp’s outreach efforts. We recommend that you start with fundamentals:
  • Strengthen your database management
  • Improve your use of social media and emails
  • Review your website
  • Test and upgrade your on-line donation and registration process
  • Establish clear, specific and calendared communications plans
In addition to the resources you can find here and in our Knowledge Center, we also provide professional development for your staff to improve their outreach efforts (Click here for more information about our JTEC Program).

Your commitment to improving the quality and effectiveness of your camp’s outreach will make a huge difference. And don’t forget that your camp’s database is the only way you can sustain relationships with your campers, alumni, and donors for the rest of their lives. Take the necessary time to document and share data standards, enter data as you find/receive it, and train staff in using your database most effectively. A strong database will take time to maintain but should also make your communications efforts easier and relationship building possible.

Alumni
How can your camp find your alumni?  How do camps engage them? How do you encourage them to make a donation? These are the most common questions at our Knowledge Center.

Why engage your alumni?  Your alumni are the people who are most likely to LOVE your organization and most likely to want to give back IF you connect with them regularly. If they LOVED their camp experience, they are more likely to want to send their children, encourage their children’s friends to attend, and give back financially.

How do I find them?  Start with your old records, databases, and yearbooks. Involve a group of volunteers to help look for alumni names and addresses. Use social media to communicate that you are missing them. Maintain this information consistently in your database. Collecting current names and addresses takes time and commitment. (See webinar)

How do I engage our alumni?  Define what you can offer your alumni that would make it worth their time to engage with you again. Can you give them access to their old camp friends? Are you offering fun alumni events, reunions, or other opportunities to return to camp? Look at alumni interests across ages and stages of life. Make your offers clear and easy to understand. Grandparents who are alumni of your camp have different interests than a 28 year old alum. Some offers might be a CIT of 1980’s reunion, early registration to family camp, or a t-shirt. (See article, see webinar)
How do I get donations from alumni?  Have you made a clear and compelling reason to them about why they should give to you?
  1. ASK: If you don’t ask, they won’t give. Is giving online easy and fun to do? If you make it hard, people will give up.
  2. THANK: Do you thank people quickly and correctly? If you don’t thank donors in a timely and professional manner, people will lose trust in your organization.
  3. REPORT: Do you let your alumni know that their donation made a difference? If you don’t, they will not be motivated to give again.

Communications
The cornerstone of your camp’s business is building meaningful and lasting relationships.  Your camp’s communications must engage, inspire, and lead different constituents to action. The stronger your communications skills and tools, the easier it will be to build and sustain meaningful relationships.

Who are you communicating with?
  • Prospective parents of campers
  • Current parents of campers
  • Campers
  • Summer staff
  • Alumni and past staff
  • Board members and other volunteers
  • Vendors and summer community members
  • Jewish community in the cities where you campers live
  • Donors, friends, and supporters
Your camp’s success is dependent on your ability to effectively develop, manage, and maintain communications plans for your various constituent groups. Effective communication planning must include in-person, off-line (direct mail and phone calls), and online (website, email, social media) communications.
